GST registration rejected or query raised? Here's how to fix it

A rejection isn't usually final and it usually isn't about your eligibility. In most cases the officer has raised a clarification in Form GST REG-03, you have a limited window to respond in REG-04, and the application is rejected in REG-05 only if you miss it or the answer doesn't satisfy them.
The trap is that the notice arrives on the GST portal and by email — not by phone. People miss it and only discover the problem when the application shows as rejected.
The common reasons
- Address proof doesn't match the address entered — different spellings, missing floor or unit numbers
- Utility bill too old, or in a name with no documented relationship to the applicant
- Missing consent letter where the premises are owned by a family member
- Blurred or partially cropped document scans
- Name mismatch across PAN, Aadhaar and bank records
- Business activity described too vaguely, or HSN/SAC codes that don't match the stated activity
- For companies, the authorised signatory not properly appointed by board resolution
How to respond
Log in to the GST portal and go to Services → Registration → Application for Filing Clarifications. Enter the ARN, read exactly what has been asked, and upload only what addresses it. Respond within the window stated in the notice — commonly seven working days.
Answer the specific question. Uploading a large bundle of documents in the hope that one of them satisfies the officer tends to slow things down rather than speed them up.
If it has already been rejected
You can file a fresh application. There is no penalty and no waiting period, but there is little point re-filing until you understand precisely why the first one failed — the same officer often reviews it, and the same defect will produce the same result.
Pull up the REG-05 order, identify the stated ground, fix that specific thing, then re-file.
When it's worth getting help
If you've been rejected twice, or the objection concerns the genuineness of your place of business, it's worth having someone who deals with these regularly handle the response. The department's language is terse and the underlying objection is often narrower than it sounds.
